Privacy Policy
Last updated: 16 October 2026
This policy covers the delegance.app website and Delegance Desk, a tool we are building for managing social media accounts from one place: publishing posts, reading comments and messages, and replying to them. It explains what information Delegance Desk handles and why. Delegance Desk is in development, and this policy will be updated before new features go live. The delegance.app website itself uses cookie-free visit statistics and does not collect personal information.
Information we handle
- Account details you give us to use Delegance, such as your name and email address.
- Connected social media accounts. When you connect Facebook, Instagram, YouTube, LinkedIn or TikTok, you sign in on that network's own page. The network then gives Delegance an access token that lets it act on your behalf. We never see or store your social media passwords.
- Content from connected accounts that you ask Delegance to manage: your posts and scheduled posts, and the comments and messages people send to your pages, including the sender's public name and profile picture.
- Website chat messages from visitors who use a Delegance chat bubble on your website, and any details they choose to type in.
- Your knowledge sheet, the business information you provide so the assistant can draft replies.
Virtual assistant profiles and candidate chats
- Public profile. When a virtual assistant creates a profile at delegance.app/apply, the profile details they choose (display name, headline, photo, location, skills, experience, portfolio, education, certifications and links) are shown publicly at delegance.app/va/… and in our candidate gallery, after Delegance reviews them.
- Private details. Full name, email, phone number, address and notes to Delegance are stored encrypted and are never shown on the profile or to clients. Only the Delegance team can see them, to contact the candidate and arrange work.
- Hire requests and candidate chats. When a client messages a candidate or asks to hire them, we keep the client's name, email, and the messages. The candidate and the Delegance team can read the chat. Email addresses and phone numbers typed into chats are hidden automatically to protect both sides from spam and scams.
- Editing and deleting. Candidates edit or delete their profile at any time from their private dashboard link. Deleting removes the profile and photo straight away.
Accounts and signing in
- Sign-in methods. Passwords are stored only as salted hashes. Authenticator secrets are stored encrypted. Passkeys store only a public key on our side; your fingerprint, face or PIN never leaves your device.
- Email sign-in codes. When you ask for a code, we email a 6-digit code that works once for 10 minutes. We keep only a scrambled (hashed) copy.
- Devices and sessions. To keep your account safe we record the browser type, system and approximate location (city and country from the network) of each sign-in. A sign-in from a new device or country sends you an email alert. You can see and end sessions in Account settings.
- Download your data. In Account settings you can download a copy of your profile, devices, sign-in methods, tasks, messages and account activity at any time.
Newsletter
If you sign up for the newsletter, we keep your email address, where you signed up and when you confirmed. You are only added after you click the confirmation link we email you. Every newsletter has a one-click unsubscribe link, and we do not share the list with anyone.
Portfolio website previews
When a virtual assistant adds a website link to their portfolio, Delegance visits that public page once to read its title and its public share image, and keeps a copy of that image to show on the profile. We do not collect anything else from the linked site.
Things kept only in your browser
Some conveniences are saved only on your own device and never sent to us: your light or dark mode choice, the virtual assistants you save or recently viewed, and a referral code from a link you followed (kept for 30 days and sent only if you submit a request).
How we use it
- To publish and schedule the posts you create.
- To show comments and messages in your Front Desk inbox and send the replies you approve.
- To draft suggested replies using your knowledge sheet and the message being answered.
- To show approved virtual assistant profiles to clients, pass on hire requests and chats, and contact candidates about work.
We do not sell personal information, show ads, or use your content for any purpose other than providing Delegance to you.
Where it is stored
Delegance runs on Cloudflare's infrastructure. Access tokens are stored encrypted and are only used to carry out actions you request.
How long we keep it
We keep information only while your account is active or as long as needed to provide the service. When you disconnect a social media account, we delete its access token and stop collecting new content from it.
Deleting your data
You can remove Delegance's access at any time from the network itself, for example in Facebook under Settings & privacy → Settings → Business integrations, or in TikTok under Settings and privacy → Security and permissions → Apps and services permissions. To ask us to delete all information Delegance holds about you or your accounts, email admin@delegance.app with the subject "Delegance data deletion request". We will confirm once it is done.
